POSITION TITLE: Children’s Advocacy Center (CAC) Administrative Assistant/Operations & Data Specialist

REPORTS TO: Director of the CAC                                  STATUS: Non-Exempt

SUPERVISES: N/ A

SALARY:  $42,000.00

SUMMARY:

 Under the general supervision of the Director of the Children’s Advocacy Center (CAC), will provide exceptional clerical, administrative, and data management support to the Children’s Advocacy Center. Will be responsible for developing, maintaining, and updating files, records, databases, and case management systems. This position requires advanced proficiency in case management platforms, Excel-based data systems, and document management workflows. The position involves regular interaction with state agencies, the public, attorneys, and law enforcement agencies.

QUALIFICATIONS:

  • Must possess a minimum of 2 years of full-time or equivalent part-time administrative work experience
  • Advanced proficiency in Microsoft Office Suite, with particular emphasis in Excel, including the ability to build, customize, and manage complex workbooks and datasheets
  • Demonstrate ability to learn, navigate, and manage new software systems and databases, including a case management platform
  • Experience with document management systems, shared drives, and digital file organization
  • Excellent organizational skills with strong attention to detail
  • Ability to prioritize time-sensitive matters and ensure all deadlines are met
  • Strong written and verbal communication skills
  • Ability to work in a fast-paced environment, prioritize effectively, and meet deadlines
  • Diplomacy in dealing with professionals and members of the public
  • A sincere interest in public service, the Criminal Justice System, the role of the prosecution and the work of the Plymouth County District Attorney’s Office’s Children’s Advocacy Center (CAC)
  • Self-motivated individual who works well both independently and as part of a team
  • Associates degree or equivalent experience required

DUTIES AND RESPONSIBILITIES:

Case Management & Data Systems

  • Create, maintain, and close cases across the CAC’s case management platform, ensuring accurate and timely data entry and updates as new information is received
  • Generate and manage custom reports and data fields within the case management system to support the CAC’s operations and staff needs
  • Maintain and update Excel-based tracking workbooks and shared data systems, ensuring records remain current and organized
  • Manage and maintain the CAC’s CSEC review and tracking systems, including associated documentation and distribution workflows
  • Assist the CAC Director with the re-accreditation process
  • Assist with bi-annual statistical report submittals to the National Children’s Alliance

Administrative & Office Operations

  • Provide comprehensive administrative, clerical, and general support to the CAC
  • Maintain a high level of confidentiality and maturity in handling sensitive matters, including reports on child abuse.
  • Greet and assist visitors, serve as liaison to families visiting the CAC, and direct incoming calls and correspondence appropriately
  • Manage internal and external mail flow, including certified and interoffice mail
  • Attend meetings and training as required and maintain CJIS Certification
  • Participate in tasks and projects assigned by the CAC director
  • Perform any other duties that may be required by the District Attorney or his designee

Facilities & Supplies

  • Assist in coordinating routine building maintenance activities and facility inspections
  • Monitor and replenish office supplies and manage vendor relationships for supply ordering
